1. Job Purpose :
Responsible for managing performance and entire operational activities of Reconciliations Unit within Card Centre and ensuring that all reconciliation related operations in the unit are carried out with maximum efficiency, security and control in order to safeguard the financial interests of the Card business.
2. 2.1 Reports directly to : Senior Manager, Card Centre
2.2 Reports indirectly/occasionally to : Head of Cards & Business Strategy
2.3 Reported to by : Reconciliation Officer
3. Main Responsibilities and Accountabilities :
1. Manage overall activities within the Unit and ensure the financial & accounting integrity of Card Centre related all GL accounts and a perfect match between the Credit Card related control / suspense / sundry accounts in the Bank’s GL with the Card Systems at all times.
2. Responsible for managing day to day operations in the Reconciliation Unit involving daily checking of EOD reports, reconciliation of daily control accounts, sundry / suspense accounts, passing of reconciliation entries, liaison with IT / branches / Visa / MasterCard / re-payments service providers on outstanding or invalid items whilst ensuring that these activities are carried out with maximum efficiency, security and control in accordance with established procedures and agreed service standards.
3. Review of all outstanding items arising out of the reconciliation and ensure that those are rectified and rectification entries are passed as per the established procedures and within the agreed service standards.
4. Responsible for developing and maintaining operational procedures for the reconciliation activities and ensure that these conform to the Bank’s standard of quality, operational efficiency and controls and include effective internal controls to manage operational risks and stand the test of audit.
5. Review procedures in coordination with Senior Manager, Card Centre to ensure that the reconciliation activities are always geared to deliver the requirements of the business especially when new products are launched or when new GL accounts are opened which significantly impact volumes.
6. Review reconciliation of Visa / MasterCard International fees and ensure that all fees, charges and other incomes earned on interchange transactions are properly debited / credited by Visa / MasterCard International.
7. Maximise profitability by ensuring that the operations are carried out with the maximum efficiency, security and controls.
8. Responsible for building a control conscious environment, by making reporting staff aware of the key risk / controls / procedures of reconciliation activities & letting them “own” their processes.
9. Ensure that the unit’s KCC is updated in Intranet
10. Work closely with Manager, Settlements & Chargebacks and ensure the financial & accounting integrity and a perfect match between the Credit Card related control / suspense / sundry accounts in the Bank’s GL with the Card system is maintained at all times.
11. Work closely with Manager, Card Business Systems & Projects and ensure that all cards business projects related costs & invoices are reconciled and payments are settled in time to vendors.
12. Work closely with all Unit Heads of Card Centre and ensure that all invoices received at Card Centre for services provided by vendors are reconciled and settled in time.
13. Work closely with Senior Manager, Card Centre and participate & recommend user specifications for system development / enhancement.
14. Work closely with Manager, Card Business MIS & Risk and ensure that the monthly sales commissions are calculated in accordance with the Commission Payment structure and reconciled before approving the final pay-out amounts.
15. Work closely with Manager, Card Business MIS & Risk and ensure that the Visa / MasterCard quarterly submissions are reconciled and submitted well within the deadlines.
16. Work closely with Manager, Buss. Intl Unit, PB Credit and ensure that the monthly provisions are reconciled before the month-end entries are passed.
17. Ensure effective complaint management and handle customer complaints and enquiries when escalated and channel feedback into process improvements.
18. Plan, review staffing requirements & recommend recruitment of staff in accordance with business plans.
19. Constantly monitor the performance of reporting staff and counsel, mentor, motivate, guide and train them to ensure that performance is optimised through a high level of staff morale/initiative/development.
20. Keep Senior Manager, Card Centre advised of incidents to be updated to Bank’s Operations Risk Database on all potential and confirmed fraud / risk cases.
21. Continuously review, recommend and implement improvements / enhancements to operational procedures, workflow and systems within the unit.
5. Occasional Responsibilities and Accountabilities :
• Keep Senior Manager, Card Centre advised of material operational / process weakness and non-compliance with controls in the financial entries.
• Identify possible technology solutions for problems on reconciliation and recommend system developments and enhancements relating to the processes.
• Act as one of the joint custodian for Card Centre chubbs.
• Act as one of the parameter custodian for Cards systems.
• Work closely with Senior Manager, Card Centre during implementation of card system enhancements / upgrades by developing Test Scripts, conducting User Acceptance Testing.
• Act as one of the signatories for Managers Cheques.
• Handle any other additional / temporary responsibilities as assigned by Senior Manager, Card Centre.
• Act as a BCP ERT leader.
6. Problem Solving / Complexity / Innovation :
• Ability to identify erroneous entries and take necessary steps to protect Bank’s interests.
• Ability to understand the inherent risks associated with Card operations and develop an appropriate early warning and control systems to manage them.
